CE Concierge is committed to protecting your privacy and developing technology that gives you the most powerful and safe online experience. This Privacy Policy applies to CE Concierge websites and governs data collection and usage. By using the CE Concierge websites, you consent to the data practices described in this statement.

Collection of your Personal Information If you send CE Concierge an electronic message, fill out an online form, or otherwise submit information to CE Concierge, CE Concierge collects any personally identifiable information, such as your e-mail address, name, home or work address, or telephone number, contained within the information submitted. When you visit the CE Concierge websites, CE Concierge may also collect anonymous demographic information, which is not unique to you, such as your ZIP code, age, gender, preferences, interests, and favorites.

CE Concierge also collects information about your computer hardware and software. This information is used by CE Concierge for the operation of its services, to maintain quality of service, and to provide general statistics regarding use of the CE Concierge websites.

Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through CE Concierge public message boards, this information may be collected and used by others. Note: CE Concierge does not read any of your private online communications.

Use of your Personal Information:
CE Concierge collects and uses your personal information to operate the CE Concierge websites and deliver the services you have requested. CE Concierge also uses your personally identifiable information to inform you of other products or services available from CE Concierge and its affiliates. CE Concierge may also contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered. CE Concierge does not sell, rent or lease its customer lists to third parties. CE Concierge may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. CE Concierge keeps track of the websites and pages you visit within CE Concierge, in order to determine what CE Concierge services are the most popular. This data is used to deliver customized content and advertising within CE Concierge to individuals whose behavior indicates that they are interested in a particular subject area. CE Concierge will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on CE Concierge or the website; (b) protect and defend the rights or property of CE Concierge; and (c) act under exigent circumstances to protect the personal safety of users of CE Concierge websites or the public.

Security of your Personal Information:
CE Concierge secures your personal information from unauthorized access, use, or disclosure. CE Concierge secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure. When personal information (such as a credit card number) is transmitted to other websites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.

CE Concierge will occasionally update this Privacy Policy to reflect company and customer feedback. CE Concierge encourages you to periodically review this Policy to be informed of how CE Concierge is protecting your information.

Data Retention and Removal Policy

1. Purpose

The purpose of this Data Retention Policy is to ensure that CE Concierge retains its operational, user, and continuing education data for as long as necessary to fulfill its business objectives and comply with applicable legal, regulatory, and statutory requirements. It also outlines the specific lifecycle for user data and the procedures for data disposal.

2. Scope

This policy applies to all electronic data and physical records created, received, or maintained by CE Concierge in the course of its business operations. This applies to all employees, contractors, consultants, and third-party service providers handling data on behalf of the company.

3. Data Classification and Standard Retention Periods

Data is retained based on its classification and the specific business requirements associated with our continuing education tracking services. The following schedule outlines our retention periods:
  • Continuing Education (CE) Progress and Requirements: Data is retained for 3 to 4 license periods. This data operates on a rolling basis; the oldest license period data is automatically purged to make room for the newest incoming data.
  • User Contact Information: Retained indefinitely to maintain historical records of CE progress, unless the user explicitly requests full account deletion (see Section 4).

4. User Data Deletion Requests

CE Concierge respects user privacy and data ownership. However, automated full data deletion is not provided by default due to the necessity of maintaining historical continuing education records for compliance and audit purposes.
  • If a user wishes to remove their data in full (including contact information and all CE progress), they must contact CE Concierge directly to initiate a manual deletion request.
  • Requests can be submitted to: https://ceconcierge.com/contact.html
  • Upon verifying the user's identity, CE Concierge will securely purge the requested data within 30 days, provided there are no superseding legal or regulatory requirements to maintain it.

5. Legal Holds

In the event of actual or reasonably anticipated litigation, investigation, or audit, CE Concierge will issue a Legal Hold.
  • A Legal Hold suspends all normal data destruction procedures (including the rolling deletion of CE license periods) for the specific records related to the matter.
  • Employees must not alter, delete, or destroy any data subject to a Legal Hold.
  • The Legal Hold remains in effect until officially lifted in writing by the Policy Owner.

6. Data Disposal and Destruction

  • When data reaches the end of its designated retention period or upon a fulfilled user deletion request, it must be disposed of securely to prevent unauthorized access.
  • Electronic Data: Must be permanently deleted, overwritten, or cryptographically wiped from active databases and subsequent backups.
  • Physical Records (if applicable): Paper documents containing sensitive user information must be cross-cut shredded before disposal.

7. Compliance and Enforcement

The Policy Owner is responsible for periodically auditing compliance with this policy. Violations of this policy may result in disciplinary action. If an employee or system administrator is unsure about the retention period for a specific data set, they must consult the Policy Owner before initiating deletion.

8. Policy Review

This policy will be reviewed annually by the Policy Owner to ensure it remains compliant with current laws, business needs, and technology changes.
